Create Automations in REACH

Automations in REACH are designed to save you time and streamline your workflows by handling repetitive tasks automatically. From sending timely thank-you messages to managing sponsorship communications and updating supporter records, automations help your team stay organized and focused on impact instead of manual processes.

Note: Some of these options are only available for Essentials, Pro and Pro Plus accounts and may be based on your admin permissions. Reference: Plan Levels and Donor Management Features by Plan Level. Contact us should you have questions.

Supporter Engagement Automations

Welcome Series for New Donors

Make a strong first impression and build lasting relationships with new donors.

  • Go to Settings > Supporter Notifications and select the Supporter Created trigger.
  • Use the Days from event to send email option to set the timing for each message after a supporter is added.

Re-engagement Series for Lapsed Donors

Reconnect with past supporters and encourage renewed giving.

  • Go to Settings > Supporter Notifications and choose the Recurring Donation Ended trigger.
  • Use the Days from event to send email option to control when each message is sent after the recurring donation concludes.

Engagement Series for Event Registrants

Keep event participants engaged before and after your event.

  • Go to Settings > Supporter Notifications and select the Event Registration trigger.
  • Use the Days from event to send email option to schedule when each follow-up is sent after registration.

Automatic Updates for Supported Items

Keep supporters informed when new updates are made to their sponsored items or causes.

Notify Supporters When Their Campaign Receives a Donation or is Fully Funded

Celebrate milestones and boost campaign excitement by keeping supporters in the loop.

  • Go to Settings > Account Rules > Campaigns to send supporters an email when their campaign receives a donation.
  • Go to Settings > Email Templates to review or edit the Campaign Funded email, sent automatically when a campaign reaches full funding.

Follow Up on Failed Donations

Reduce lost revenue by identifying and addressing failed payments quickly.

  • On your Dashboard, scroll to the bottom and click + Add Widget. Create an Incomplete or Error Donations widget to view failed donations from the past month.
  • In Settings > Account Rules > Recurring Donation, adjust failure handling settings and assign which admin should be notified to follow up.

Email Supporters on Their Birthday

Add a personal touch by celebrating your supporters’ special day.

  • Create a Supporters Report each month and filter by Supporter Month of Birth.
  • Once generated, send a “Happy Birthday” email directly from the report.

Automatically Group Supporters Based on Their Donations

Organize donors automatically by what they support for more targeted communication.

  • Go to Supporters > Groups and create your desired groups.
  • Then go to Data Setup > Automations.
  • Choose Donation as the Triggering Item and Add Associated Supporter to Group as the Action.
  • Under Purpose, select the relevant project, place, campaign, sponsorship, event, or donation category.

Automate Admin Notifications or Tasks Based on Donations

Keep your team informed and aligned when donations are made to specific causes.

  • Go to Data Setup > Automations.
  • Choose Donation as the Triggering Item, and select either Email Admin or Assign Admin Task as the Action.
  • Under Purpose, choose the relevant project, place, campaign, sponsorship, event, or donation category.

Keep Your Data Clean and Up to Date

Ensure supporter records are accurate and duplicate-free.

  • Go to Supporters > Actions > Resolve Duplicates to identify and merge duplicate records.
  • REACH automatically matches by email, preventing duplicate entries.
  • Custom forms require email confirmation to verify supporter identities.

Notify Your Team of Admin Updates

Stay informed when other admins make important changes.

  • Go to Settings > Admin Users, click Edit, and open the Notification tab.
  • Choose your preferred Admin Activity Notification frequency.

Set Recurring Tasks for Admin Follow-Up

Stay organized and never miss an important action item.

  • Click the bell icon in the top right corner to assign tasks to admins.
  • Choose whether the task is one-time or recurring, set a due date, and mark it complete once finished.

Bulk Send Contribution Statements at Year-End

  • Go to Reports > Exports > Contribution Statements to email PDF contribution statements to all donors.
  • For donors without an email, REACH sends you their statements for printing.

Schedule Recurring Reports

  • When generating a report, check Schedule as a recurring report.
  • Choose a weekly or monthly frequency and select the delivery day.

  • View UTM data directly in REACH reports.

Affiliate Codes

  • Assign affiliate codes to ambassadors so donations through their links are credited to them.
  • View and report on affiliate activity using the Donation Details Report.

  • REACH automatically sends an email and/or text after each donation.
  • Go to Settings > Text to Give to set up text messages.
  • Then go to Settings > Donation Setup > Donation Form Settings and enable Allow Donation Text Message.
  • Review and edit the thank-you message displayed after donation.

Notify Donors of Failed Payments

Help donors resolve issues quickly to prevent missed gifts.

  • Go to Settings > Account Rules > Recurring Donation and enable donor notifications after a failed payment.

Gift Dedication Acknowledgements

  • When donors select Donate in honor or memory, they can include the honoree’s name, email, and message.
  • REACH automatically emails the honoree upon donation.

Ensure sponsors who pay by check or cash stay on schedule.

  • Go to Settings > Supporter Notifications and select the Offline Sponsorship Due trigger.
  • Use Days from event to send email to schedule payment reminders.

Create a Catch-Up Alert in the Donor Portal

Encourage sponsors to easily make up missed payments directly online.

  • Go to Settings > Portal Setup > Donor Portal Alerts to create your alert.
  • The alert appears as a colored block at the top of the Donor Portal when sponsors log in.

Notify Sponsors of Upcoming Sponsorship Birthdays

Bulk Update Sponsorship Grade Levels

Save time by advancing grade levels for all sponsorships in one step.

  • Go to Data Setup > Custom Fields > Bulk Update tab.
  • To advance grades, select Grade, set Action > Add, enter Amount > 1, and click Update.

Auto-Increment Sponsorship ID Numbers

Keep sponsorship IDs consistent when importing or adding new records.

  • Go to Data Setup > Custom Fields > New Field and create a numerical field.
  • Check Auto-Increment Value as a Unique ID and enter the First Unique ID.

Notify Admins of Sponsorship Activity

Keep your team informed about sponsorship updates and conversations.

  • Go to Settings > Admin Users, click Edit, and open the Notifications tab.
  • Check the boxes for Conversation, Cancelled Sponsorship, New Sponsorship, or Sponsorship Payment Reminder to receive alerts.
