Supporter Segments

Supporter Segments are dynamic, criteria-based collections of supporters that update automatically as supporter data changes. Segments help you target communications, track engagement, and identify specific groups of supporters without manually updating lists. This feature is available on Essentials, Pro, and Pro Plus plans.

Overview

  • Segments automatically include supporters based on the rules you define.
  • You cannot manually add supporters; only those meeting the segment criteria are included.
  • Segment parameters are displayed when you open a segment: Description, Record Type, Time Period, Segment Type, Segment Count, and Total Supporter Count.
  • Segments appear on each supporter’s record under Details.
  • From a segment, you can export to Excel or send an email to all included supporters.

Defining Segments

When creating a segment, you define:

  • Description: A short summary of the segment for easy reference.
  • Record Type: The type of data used to determine inclusion. Options include:
    • Donations
    • Sponsorships (Current or Cancelled)
    • Supporter Campaigns
  • Time Period: Historical period used to evaluate data:
    • All Time (single column)
    • Yearly, Quarterly, Monthly (multi-column format)
  • Segment Type: How the segment is calculated:
    • Record Count – total number of records (e.g., number of donations or sponsorships)
    • Total Giving Amount – sum of donations or amount raised
  • Automatically Refresh: If checked, the segment updates daily; otherwise, refresh manually with the Refresh Segment button.

How to Create a Segment

  • Go to Supporters > Segments
  • Click + New Segment
  • Enter a Title and Description
  • Select Record Type, Time Period, and Segment Type
  • Decide whether to Automatically Refresh
  • Click Add Segment to define additional rules if needed
  • Click Create – REACH will calculate the segment (may take a few minutes)
  • Click Segment Count or Supporter Count to view included supporters

Segment Examples

Tip: Once a segment is created, you can export the supporter list to Excel or send a targeted email directly from REACH.

Sponsorship Segment Examples

All Time Sponsorships

  • Record Type: Sponsorship
  • Time Period: All Time
  • Segment Type: Record Count
  • Min/Max examples:
    • Min 0 → supporters who have never sponsored
    • Min 1, Max 10 → supporters who have sponsored 1–10
    • Min 11 → supporters with 11+ sponsorships

Cancelled Sponsorships

  • Record Type: Cancelled Sponsorship
  • Time Period: All Time
  • Segment Type: Record Count

Current Sponsors

  • Record Type: Current Sponsorship
  • Time Period: All Time
  • Segment Type: Record Count
  • Min 1 → supporters sponsoring 1+
  • Min 2, Max 2 → supporters sponsoring exactly 2
  • Min 3 → supporters sponsoring 3+

No Current Sponsorships

  • Record Type: Current Sponsorship
  • Time Period: All Time
  • Segment Type: Record Count
  • Min 0, Max 0 → supporters with no active sponsorships

Donation Segments

All Time Giving

  • Record Type: Donation
  • Time Period: All Time
  • Segment Type: Total Amount
  • Min 5,000 → supporters who have given exactly $5,000

Donors vs. Non-Donors

  • Min 0, Max 1 → supporters who have given <$1
  • Min 1 → supporters who have given ≥$1

Given Monthly

  • Record Type: Donation
  • Time Period: Monthly
  • Segment Type: Total Amount
  • Min 500 → supporters giving over $500 monthly

Given Over Amount

  • Min 1,000 → supporters who have given over $1,000

Lifetime Donation Amounts

  • Min/Max examples:
    • 0–500 → supporters who have given up to $500
    • 500–1,000 → supporters who have given $500–$1,000
    • 1,000–5,000 → supporters who have given $1,000–$5,000

Never Given

  • Min 0, Max 0 → supporters who have never donated

Campaign Segments

All Time Campaigns

  • Record Type: Campaign (Supporter Campaigns only)
  • Time Period: All Time
  • Segment Type: Record Count → number of campaigns a supporter has participated in
